Can multiple users have access to State Payments in the same department, using one ID?
Yes. We can set up your accounts in many ways. If you have special requests, just ask us and we will try to make it work. In most cases it is no problem.
How long does it take for us to get our money in our local bank account?
The money is deposited within 24 hours of StatePayments.com receiving the funds from the credit card processor. This means that typically the funds will arrive in the bank account 48 hours from the batch date, or 72 hours from the date the transaction occurs.
How do we log and have the dollar amounts match our records since State Payments is attaching a fee?
The internal reporting shows the amount of the charge separate from the fees added to transactions. All of your accounting will deal directly with the portion of the transaction you are concerned with, and never the fees.
Can we accept all major credit cards?
Yes. Specifically, Visa, Mastercard, Discover, and American Express.
How long does it take to get an account started on State Payments?
Once you sign-up on the site, you will receive an email directing you back to the site for a PDF document. This document asks for the final information needed to set you up. It is requested that you fax this in, and upon receipt we enter your information, and activate your account. It is possible to be running in a short period.
Do we need to sign a contract?
No. We do ask that you agree to our terms and conditions with usage of the system. They are there to protect you as much as us.
Can we try the system to see how it works without getting tied in to anything major?
You can use State Payments as much or as little as you wish. There are no requirements for usage.
Where do we call for Customer Support questions?
You may call 888.754.5588 or 620.230.0400 during normal business hours with questions, comments or problems. Or you may go to the website and email us.
How do we run a credit if we make a mistake or if the customer changes his/her mind?
Contact us and we will assist you with processing a void or credit. In other words, we are happy to take care of this for you, and ensure it is handled correctly and quickly.
Can other departments utilize the system?
Yes. State Payments is used by treasurers, health and human services, water departments and more. We even have animal control agencies using State Payments. It is there for usage in all government facets for all kinds of transactions.
Can each department in our county deposit to different accounts?
Yes. We can set up your usage of the system in a variety of ways. If you have a preference, just ask us.
How do we go about making changes if we change bank accounts?
Simply contact us. If you have our banking information document, you may fill it out and fax it to us with the new information. We can email you a copy anytime, if needed.
There seems to be a lot of key strokes involved with a sale, can we use a machine to speed up the process?
Yes, we offer magnetic readers, or swipers. This is a great benefit for in-house transactions that we now allow after much research. These simple pieces of equipment are small and connect to your keyboard port in the back of your computer, and then your keyboard plugs into them. They take up very little space.
How do we use swipers (magnetic readers)?
You still use the site. Instead of keying in the information, you click into the Swiper Transaction page (after login) where you swipe the card.
If we decide that we no longer want to process credit cards, how do we go about canceling our account with State Payments?
If you ever do desire to have your account removed completely from the system, contact us, and we can remove you immediately. In most cases, this is not necessary. You may simply decide not to use it.
We may need to go back some time for research of data; does State Payments have a historical data area so that we can research transactions?
State Payments stores the data available online for a period of two years. The data is then warehoused at a secured location for a period of 20 years. If this data is required, it can be made available per special request.
